Learning objectives
By the end, participants can:
- Open the side panel in every app that has one (Gmail, Docs, Sheets, Slides, Drive, Chat and Meet, opened with the Ask Gemini button at the top right) and say what each is good for
- Reference a Drive file with @ and know why that beats pasting
- Run a cross-app task (a Doc drafted from an email thread, a Sheet summarised in Gmail) and check the result
- Use Take notes for me in Meet and know what it produces (Take notes for me writes a Doc with Quick notes and Full notes tabs, offers Summary so far to latecomers, and emails the organiser afterwards)
- Explain the admin controls (Admin console, Menu, Generative AI, Gemini for Workspace, then Feature access; on by default, per service, needs the Gemini Settings administrator privilege) and the difference between the side panel and the Gemini app
- State Google's data commitments for Workspace (customer content is not used to train models without permission, is not human-reviewed outside the domain, and stays within the organisation; certifications include SOC 1/2/3, ISO 27001, ISO 27018 and ISO 42001) and where to check them
What's in this module
7 lessons · 5 exercises · ~7 min reading
Starts withOne button, seven apps~1 minExecutive summary
You will learn how Gemini works inside the Workspace apps you already have open: the Ask Gemini side panel, what it can do in each app, how to point it at Drive files by name, what the admin has switched on, and what happens to your data. End state is one real task done in the side panel in each of three apps, one @-mention that pulled the right file, and a clear answer to the two questions every colleague asks: "can it see my stuff?" and "where does it go?" After this module you can open the side panel anywhere it exists, choose the app to work in rather than the app you happen to be in, reference Drive files without leaving the document, explain the admin controls in plain language, and say what Google commits to about your data.
